MANAGING STORAGE ORDERS

The system records customer enquiries about warehousing services and creates a suitable quotation for these enquiries. Quotations are followed up punctually and transferred to a storage order. Sample orders can be created in order to simplify the working process. These sample orders can be used to record incoming orders as quickly as possible. Along with the quantity, type of goods and type of storage, storage orders also include services that the storage warehouse performs for the goods.

MONITORING INCOMING GOODS

Notification of incoming goods is performed by the customer — either using the conventional method or via the Internet. The goods are unpacked or stored in various goods carriers. Containers are stripped and stored in accordance with customer instructions. Here, an unspecified type of goods can be changed to an individual item.

Upon the arrival of goods, the goods carrier performs their standard checks and the special inspection of the goods is performed in accordance with the customer specifications. The customer is informed about the incoming goods and the result of the inspection

SERVICES FOR THE GOODS

In addition to standard services (transferring into storage, storing, taking out of storage), warehouse customers are increasingly requesting additional services, such as: 

  • Inspection of goods in accordance with customer specifications
  • Monitoring of goods for damaging environmental influences
  • Quality-maintaining measures (fumigation, drying, loosening, shifting, cleaning, sieving)
  • Inventories with re-weighing, measurement, counting
  • Repackaging by changing the overpack/packaging sizes

portos Warehousing displays services in their hierarchical structure. Following an order, operating resources and personnel are scheduled for all specific tasks. The tasks are confirmed or proposed with an alternative deadline. Once the tasks have been completed, the shift managers provide feedback on the actual times. Mobile recording devices can be used for this process. Customers can check the status of their orders online.


CHECKING OUTGOING GOODS

The instructions concerning outgoing goods are submitted and released on paper, over the Internet or via an electronic interface. After this, the goods are collected or sent to the specified delivery address. A simple or complex picking process takes place in the outbound area of the warehouse depending on the customer specifications. Containers can also be packed as part of this process. The system can also be used to manage the use of packaging and packaging aids.


BILLING OF ORDERS

portos Warehousing contains an invoicing program for convenient billing of storage orders. In this program, a final check of the services rendered is then performed and these are then released for invoicing. 

A monitoring program ensures that no services go uncharged. Corrections can be made to the released services, and therefore the invoice, at any time.

portos Warehousing supports individual and collective invoices for fixed monthly deadlines. Invoices can also be sent electronically. After the closing of the books (at the end of the day or at the end of the accounting month), the outgoing invoices file is printed out. This is sent to the financial accounting system, e.g. DATEV, via an interface, along with the corresponding invoices.

AUTOMATIC REPORTING

The reporting system automatically delivers reports for the stockist and its customers. In addition to the standard evaluations provided, individual reports can be created particularly easily through data transfer to MS Excel
